Job Title: Business Administrator & Executive Assistant

Work type: 1099-contractor, part-time (20-25 hours/week)

Rate: $35/hour

Location: We have offices in Eugene and Cottage Grove, OR; hybrid schedule preferred; remote may be considered

Live Oak Consulting is a Native woman-owned business. Founded in 2015 by Deana Dartt, Ph.D. (Coastal Chumash), Live Oak Consulting has become nationally known for a variety of services related to Native American sensitivity and awareness, including museums, environmental and public health organizations and municipalities. 

We strive to work from a foundation of indigenous methodologies which underscore transparency, accountability, reciprocity (with the land and all beings) and holistic/systems thinking. Our big, overarching goal is to transform the way the world thinks about Native issues, lived experiences, art and cultural practices, and real, sustained stewardship of the land. 

Position summary:

The Business Administrator & Executive Assistant manages daily business operations, including accounting support, record keeping, and client communications, and supports Live Oak’s Director in administrative tasks such as calendar management, email support, and event/travel arrangements. This position will work closely with other team members to ensure workflows stay organized and efficient. 

This position requires an individual who can work in a fast, paced client-driven environment. They must be organized, responsive, and professional to ensure positive outcomes and client relationships. This individual must also exhibit cultural humility and agility, with the ability to work with people from diverse backgrounds. 

Job functions: 

Business Administrator

  • Maintain comprehensive and accurate records
  • Complete errands related to office needs and supplies
  • Maintain a clean work environment (organizing, emptying trash/recycling, etc.)
  • Perform minor accounting duties in collaboration with a bookkeeper (invoices and billing, payroll, etc.)
  • Oversee client communications, including responding to new inquiries and contracts
  • Manage email lists

Executive Assistant

  • Maintain an active to-do list for the Director
  • Make travel arrangements (flights, hotels, transportation, etc.) 
  • Draft emails and other correspondence on the Director’s behalf for clients
  • Organize meetings, including meeting logistics and agenda
  • Upkeep of the Director’s calendar and schedule 
  • Manage weekly check ins and staff meetings

Additional Tasks

  • Assist with proposal writing and editing
  • Manage client training logistics and outreach
  • Develop communication materials
  • Help with maintenance of an online module training series
